Google

Everything your agent takes from Google lives on one Google tile in Integrations: Calendar, Gmail, Drive, Contacts and Tasks. Each service is connected separately, and the agent gets access only to the ones you switch on.

ServiceWhat the agent can do
Google CalendarCheck availability and book appointments during a call
GmailFind and read emails, reply in a thread, send a new email, prepare a draft
Google DriveFind and read a file, write a note, update a spreadsheet, tidy up folders
Google ContactsRecognise the caller by number, save a new contact
Google TasksSee tasks, add a task with a due date, mark a task done

How connecting works

  1. Open Integrations and click the Google tile.
  2. In the panel that opens, connect the services you need — each one has its own Connect button.
  3. Google shows its standard consent screen for that service. Sign in with the Google account to use and click Allow.
  4. Back in HANC, the service shows Connected and the account email. The tile counts how many services are connected.

The connection belongs to the workspace, not to one agent; each workspace connects Google separately. You authorise once and then add the matching tool to as many agents as you like on their Actions tab (Actions & Tools). In every tool you tick what the agent may do — unticked actions are not available to it at all — and you can add rules in your own words.

Access HANC requests

Google Calendarcalendar.events, calendar.calendarlist.readonly, calendar.freebusyRead and create events, list your calendars, check free/busy time
Google Drivedrive.fileOnly the files and folders you pick in Google's file picker, plus files the agent creates
Google Contactscontacts, contacts.other.readonly, userinfo.emailRead, create and update contacts; find people you have emailed who are not saved as contacts; see which Google account is connected
Google Taskstasks, userinfo.emailRead task lists, add and complete tasks; see which Google account is connected

Reconnecting

If Google stops accepting the access granted for a service, its row shows Reconnect needed. Click Connect again so the agent can keep working with it.

Google Calendar

The agent checks availability and books real appointments while the caller is still on the line.

  • Availability checks — the agent reads your calendar to confirm whether a requested slot is free.
  • Event creation — the agent books a confirmed appointment as a new event, with the caller's name, phone and any notes captured during the call.
  • Cancellation links — On a phone call the confirmation SMS includes a cancel link. Web calls get no cancel link.

HANC can read event details in the calendars you connect; the agent uses only what it needs to answer the caller.

Google Calendar is available on all plans, including Free.

Need richer booking?

If you run appointments through a dedicated booking system, connect eTermin or, for restaurant tables, resmio instead.

Calendar tool settings

Add the Google Calendar tool on the agent's Actions tab and configure it:

SettingWhat it does
CalendarWhich calendar the agent reads from and writes to
Timezone (optional)The timezone used for every slot the agent quotes
Add a Google Meet link to the bookingEvery event the agent books gets a video call link
Work start, Work end, working daysDays and hours the agent offers (e.g. Mon–Fri, 09:00–18:00)
Slot durationAppointment length: 15–120 minutes in steps of 15

Each agent can configure these independently — one agent can book 30-minute demos and another 90-minute consultations from the same calendar. Full field reference: Actions & Tools → Google Calendar.

Timezone handling

All slot offers, confirmations and created events use the timezone configured on the agent's calendar tool (e.g. Europe/Vienna). The agent says the timezone out loud when it offers a slot — "Tuesday at three p.m. Vienna time, does that work?" — so the caller never has to guess. Google shows the event in each attendee's local time.

Disconnecting and reconnecting

When you disconnect Google Calendar:

  • Stored tokens are removed.
  • Every Google Calendar tool on every agent is deactivated — it stays on the agent but no longer fires during calls.
  • Events already booked in Google are not deleted or changed.

When you reconnect (or connect a different Google account), the tools reactivate automatically with their old settings. You can also revoke HANC's access in your Google account's security settings — the effect is the same.

Every event the agent creates also shows up in CRM → Calendar, next to Outlook bookings. See CRM.

Gmail

Connect a Gmail or Google Workspace mailbox so the agent can find and read emails, reply and send. Gmail is connected through our mail partner, the same way as Outlook and IMAP mailboxes — see Email for what the agent can do and how sending is protected.

Google Drive

The agent works only with the files and folders you choose in Google's file picker, plus the files it creates itself. The rest of your Google Drive stays closed to it.

Choosing files:

  1. Connect Google Drive on the Google tile.
  2. Click Choose files and folders and pick what the agent may use. The list Files and folders the agent can use shows your choice.
  3. Google does not let apps take a whole drive in one step. To give the agent everything in a folder, click Select everything, press the shown key combination in the picker and confirm.

Removing an item from the list only hides it there — Google keeps the granted access until you disconnect Google Drive.

What the agent may do (ticked in the Google Drive tool):

ActionNotes
Find files and folders—
Read filesDocuments, spreadsheets, PDFs
Create filesFor example, write a note from the call
Change a file's content (add to it or replace it)Adding to a Google Doc keeps its formatting; adding to a Google Sheet adds rows
Organize: create folders, rename, move and copy—
Delete filesMoves the file to the Google Drive trash

Before deleting a file or folder or replacing a file's text, the agent names the file, asks the person on the line and acts only after a clear "yes".

Google Drive can also start a trigger when a file appears or changes.

Google Contacts

On an incoming call the agent looks the number up in your Google Contacts and greets the caller by name. It can also find contacts, save new ones and update existing ones.

Setting / actionDescription
