eTermin

Connect eTermin so your voice agents can check availability and book, reschedule, or cancel real appointments while a caller is still on the line — straight into your eTermin calendars and services, with built-in protection against double-booking.

Available on every plan

eTermin is available on all plans including Free. There's no per-booking fee — availability checks and bookings use a few words of LLM output per turn, billed at your normal per-minute rate.


What It Does

Once connected, the agent works with your existing eTermin setup:

  • Reads your calendars and services — the agent knows which services you offer and when you're open.
  • Checks availability — it confirms whether a requested slot is actually free before offering it.
  • Books appointments — it creates a confirmed booking on the call, capturing the caller's details.
  • Reschedules and cancels — callers can move or cancel an existing appointment without waiting for a callback.
  • Prevents double-booking — see Double-Booking Protection below.

When to Use eTermin vs. a Plain Calendar

Both eTermin and the Google / Outlook calendar tools let an agent book appointments. Choose based on how you already run scheduling:

If eTermin is where your appointments live, connect eTermin so the agent books into the same system your team already uses.


Connecting eTermin

The connection lives at the HANC account level — you authorise once, and every voice agent in your account can then use the eTermin tool.

  1. Open Integrations in the sidebar and find the eTermin card.
  2. Click Connect eTermin.
  3. Authorise HANC to access your eTermin account and follow the on-screen prompts to link it.
  4. Back in HANC, the integration card shows Connected.

Once connected, HANC reads your eTermin calendars and services so the agent can offer them by name.

tip

The exact fields eTermin asks for depend on your eTermin plan. Have your eTermin login (and any API access your plan provides) to hand before you start.


Per-Agent Tool Configuration

Connecting eTermin to your account makes the tool available. To actually use it, add the eTermin tool to the agent's Actions tab and point it at the calendar and services the agent should offer.

Each agent can be configured independently — for example, one agent books consultations while another books service visits, both from the same eTermin account.

What the Agent Can Do on a Call

Once the tool is enabled, the agent can, mid-conversation:

  • Offer real availability"The next opening for a consultation is Thursday at 10 a.m. — does that work?"
  • Book the appointment and confirm it back to the caller.
  • Reschedule an existing appointment to a new free slot.
  • Cancel an appointment when the caller asks.

Example conversation:

Customer: "I'd like to book a haircut for Friday afternoon."

Agent: [Checks eTermin availability]
"Friday at 2:30 p.m. is open. May I have your name
to confirm the booking?"

Customer: "Yes — Anna Berger."

Agent: [Creates the booking in eTermin]
"Done — you're booked for Friday at 2:30 p.m.
You'll get a confirmation shortly."

Double-Booking Protection

Before it confirms anything, the agent re-checks the slot against eTermin's live availability. If two callers ask for the same time — or the slot fills between the moment it was offered and the moment it's confirmed — eTermin's booking rules block the conflict, so a slot, staff member, or resource is never handed out twice. The agent simply offers the next free option instead.


Disconnecting

You can disconnect eTermin at any time from the Integrations page. When you disconnect:

  • The eTermin tool stops firing on every agent that used it.
  • Appointments already booked in eTermin are not changed or removed.

Reconnect later and your agents can pick up right where they left off.
